Pilot is AI project management that knows your books. It ties Gantt planning straight into Ledger financials, so the plan, the budget, and the tasks are finally one system. This guide covers getting a project running.
Getting access
Pilot is included with every Conductor Team or Enterprise seat, so if you're on one of those plans it's already available from your Portal — there's nothing separate to buy. Open it alongside Conductor and Ledger; the three work best together.
Starting a project
The fastest start is to turn an existing estimate into a project in one click — Pilot carries the scope and numbers across. Or build a plan from scratch: lay out tasks on the Gantt, set milestones, and assign resources.
Tracking work and money together
Live project P/L
Pilot shows Billable vs. Actual in real time, rolled up from costed time entries, so you always know whether a project is making or losing money — not at month-end, now.
Time that feeds the books
Time entries sync to Ledger, which means they flow into payroll and project costing automatically. Log time once; it lands everywhere it needs to.
Approvals worklist
Keep sign-offs moving with an integrated approvals worklist sitting in the same Ledger-financials UI as the plan and the numbers.
Tips
- Start projects from estimates where you can — the financial baseline comes with them.
- Log time consistently; the live P/L is only as accurate as the entries behind it.
- Archive finished projects rather than deleting — Pilot keeps them for the record with an Active/Archived filter.
Frequently asked
Can I buy Pilot on its own?
Not currently — it's bundled with Conductor Team and Enterprise seats rather than sold standalone.
Does my time really reach payroll?
Yes. Time entries sync to Ledger through a service binding, feeding both project costing and payroll.
